An exciting HR Manager role with a Scandinavian retail company.

The Role


The HR Manager will focus on providing full range of professional HR services to the Japan business, including hiring office and shop staff, reviewing and updating HR policies and processes, overseeing benefits and budgeting, database management, and support Japan President and EAP regional office on Japan strategies (from an HR perspective).


Main Responsibilities



Talent Management


  • Manage internal and external job posting processes, recommend best practices for searching, recruitment and selection approaches to attract and retain talents. Offer professional advises to line manager on hiring and staff decisions;
  • Recommend relevant up-to-date assessment tools and manage search agencies;
  • Coordinate with President to identify development needs of business departments and deliver high quality training and follow up action plans;
  • Coordinate with business departments to manage and deliver high quality orientation programs and new hire follow up action plans;
  • Take a lead in future proofing the organization with clear succession plans for all positions, educating managers and staff in job levelling;
  • Support the team leaders for development of each individual’s capability and potential in their teams;
  • Recommend and implement best practices to enhance brand awareness in labour market;
  • Maintains human resources records by recording new hires, transfers, terminations, changes in job classifications;
  • Documents human resources action by completing forms, reports, logs, and records;
  • Administers HR & Admin related official document; providing application information, helping with from completion, verifying submissions and notifying employees;
  • Provides job candidates by screening, interviewing, and testing applicants; notifying existing staff of internal opportunities; maintaining personnel records; obtaining temporary staff agencies;
  • Orients new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs;













HR Services Excellence


  • Be a HR ambassador, show passion and care to our employees, offer career and personal counselling whenever is appropriate;
  • Maintain HR policies, employee handbook, workflow and procedures. Keep abreast of and ensure compliance with upcoming change in labour ordinance and government requirements;
  • Monitor Japan HR daily operation and workflows efficiency, maintain employees’ personal files via SAP;
  • Manage benefits programs and annual renewal process and ensure they are in line with market trend and legal compliance;
  • Participate in annual HR exercises -  salary, bonus and incentive recommendations, compensation survey; business planning and budgeting;






Employee Engagement


  • Participate in departmental meetings and retail meetings to understand business needs and feedback;
  • Regular shop visits to meet front line employees;
  • Plan and lead the regular staff communication meetings and “Employee Brain Storming/Kaizen” initiatives 
  • Explore community services aligned to corporate values
  • Manage services award for Japan employees








  • Work closely with the President and Senior Management team for the formulation of business strategies to pioneer growth in Japan;
  • To support the President and Senior Management to oversee and ensure smooth operation of daily routines in Japan;
  • Execute and support key projects as assigned by the President;




Leading and Supervising


  • Be the role model and act according to the Code of Conduct;
  • Be an effective leader to promote co-operation and team success for own team and overall Japan operation;
  • Lead and coach the HR & Admin to ensure development of each individual’s capability and potential;
  • Promote teamwork and nurture team spirit for the achievement of HR & Admin objectives;





Staff Supervision & Coaching


  • Provide interactive and proactive feedback to the staff to promote continuous improvement of performance;
  • Reward performance while maintaining high disciplines and professional standard of the team;
  • Optimize teamwork with key cross-functional departments;




Ideal Skills & Experiences


  • University Degree holder or above, at least 8 years of solid HR experience within multinational companies (Retail industry experience is a strong preference)
  • In depth C&B exposure preferable
  • Well versed in labour law and payroll and tax regulations in Japan
  • Cares for people, environment and society. A heart for people, proactive, self-starter, positive “can-do” attitude
  • Excellent spoken and written Japanese and English
  • Good planning and organizing skills, ability to handle multi-tasks and work independently
  • Highly proficient PC skills using Microsoft applications including Word, Excel, Power Point
