Job Description

Roles & Responsibilities

  1. Import/Export Logistics
    1. Responsible to coordinate the importation of international shipments with the APAC logistics team for finished goods and non-merchandise into Japan
    2. Monitor, track, and communicate the progress of inbound shipments to warehouse partners and planning teams to ensure inbound receiving is done efficiently and accordingly to business priorities
    3. Correspond with warehouse and APAC logistics team to resolve inbound receiving scheduling issues
    4. Translate business forecasts into TQ requirements for the organization. Responsible to acquire sufficient TQ with METI to support the business
    5. Material check, classify and translate master data for TQ and importation, prepare documentations for customs clearance
    6. Verify and create payment requisition for invoices
    7. Prepare reporting and expense tracker for import shipments
    8. Monitor and manage SOP with designated freight forwarders and import business partners
    9. Identify and implement internal process improvements and new ideas to improve importation lead-time 
  2. Logistics and Distribution Operations
    1. Provide customer service to Retail and E-com on their logistics needs
    2. Understand company requirements from key stakeholders group, e.g. Retail, e-commerce, Finance, et al and assist the manager to develop procedures for operation excellence
    3. Manage the operations of warehouse housing non-merchandise, e.g. Store consumables, store fixtures and furniture, visual merchandise props, etc. on a day-to-day basis
    4. Developing Standard Operating Procedures (S.O.P.), measuring the key performance indicators and drive improvements from the existing processes
    5. Provide shipment visibility to internal parties and drive improvements on cost, lead-time and efficiency
    6. Coordinate outbound store distribution with 3PL, as well as store return
    7. Gather and coordinate sales planning information for the sharing w/3PL for forecast and planning
  1. External partners/3PL management (freight forwarders and non-merch)
    1. Monitor performance of logistics service providers
    2. Process invoices from 3PL/business partners and monitor the logistics cost
    3. Liaise with and as appropriate manage external partners on projects 
  2. Project Management
    1. Assist the manager in implementation of projects/changes, e.g. continuous improvement initiatives identified with 3PL
    2. Accessing the impact on the organization implementing the changes, e.g. on cost, lead-time, efficiency and inventory flexibility
  3. Other Responsibilities
    1. Support all ad-hoc sales events, e.g. Friends and Family sales, pop-up sales delivery and logistics operations
    2. Coordinate Quality Assurance with 3rd Party Logistics Service Provider (3PL) and assist in reporting to Quality team in Hong Kong
    3. Prepare reports for sharing with internal stakeholders


  1. Tertiary educated, Supply Chain Management or Logistics Management is preferred
  2. At least 5 years of relevant experience in logistics or supply chain, experience in fashion retail is preferred
  3. Preferably with experience in managing TQ and importation into Japan
  4. Proactive, detail oriented and strong sense of responsibility
  5. A good team player and be able to work independently
  6. Good command of written & spoken Japanese and English
  7. Proficient in MS Office and MS Excel
