Job Description

It's about time: a Swiss watchmaker is searching for an assistant to GM for this very diverse office management role. In this role, you'll be working in a wide range of responsibilities to help grow the company and act as the country manager's right-hand person. The role is demanding and bursting with variety. The diversity the role offers in terms of daily tasks will include:

  • Attend the inquiries from trade customers and consumers and coordinate the required service after sales with the related parties including the external service providers
  • Coordinate the logistics of watches, accessories, and marketing materials – import and ship out
  • Schedule meetings and appointments; provide reminders when important events are upcoming
  • Manage the office facilities; order office supplies when needed
  • Organize and document office operations and procedures; ensure these procedures are being followed 
  • Ensure that all items are invoiced and paid on time; develop a system for timely automate payment for recurring orders
  • Manage contracts and price negotiations with vendors and service providers
  • Provide general support to visitors who come into the office
  • Assist in the onboarding process for new hires, including phones, email setup, computers, etc.
  • Organise in-house or off-site activities such as conferences and celebrations


Requirements and Qualifications

  • Proficient computer skills, including Microsoft Office Suite
  • Prior experience handling office responsibilities, experience in customer service, or related field
  • Basic knowledge of accounting
  • Excellent written and verbal communication skills; proficient in Japanese-language business writing and ability to communicate in English
  • Highly organized multitasker who works well in a fast-paced environment
